CoronavirusCovid Rules, Protocols & Etiquette

Covid Rules, Protocols & Etiquette

At UCR, your health and well-being are our top priorities. We have done much to ensure that your time on campus can be spent safely and responsibly. In light of the COVID-19 pandemic, please ensure that you read the rules, protocols and etiquette that are now in place.
Coronavirus
  • National Rules - What is expected of everyone in the Netherlands

    Since the situation is volatile, we will link to the government resources on this topic. Find the current national rules that apply to everyone in the Netherlands here.

  • General Rules - What is expected of you at all times while at UCR

    General Rules for Covid-19

  • Etiquette - What is expected of you in the (online) classroom

    In-class and Online Etiquette

    Students and employees will behave with dignity and respect towards others, and play a positive role in encouraging others to follow guidelines.

    Due to the COVID-19 outbreak, more education is offered online via Zoom.  Normal rules and procedures as described in The General code of conduct in the Student Handbook apply to online education just as they do to campus education.

    Online classes

    Students are expected to actively participate in online classes. Fraud and plagiarism are strictly prohibited.

    If you are ill, you should email your instructor, your tutor (see Student Handbook) and coronavirus@ucr.nl explaining why you will not be in class and what symptoms you are experiencing. If you have COVID-19 symptoms, the Crisis Team will instruct you to book an appointment to get tested. You will then have to self-quarantine until a negative test result is known. Whilst you self-quarantine, you will follow classes online if possible (see www.ucr.nl/quarantine for more information).

    If your illness is not related to COVID-19, then the situation is like any other semester in which you would not be able to attend class. You must email both your tutor and your instructor. If you are too ill to attend class, you will be marked as absent.

    If you find yourself facing difficulties with keeping focused in a course and therefore feel the need to self-isolate, please contact your instructor, or your tutor to discuss your concerns with them. You and your instructor can then agree on a workable solution that suits both you and them. As long as you follow these formal channels and come to an arrangement with your instructor, you will not be considered absent.

    If you are seriously ill (for whatever reason) and will miss several classes, then the onus is on you to speak to the instructor about the possibilities of official extensions and to your tutor about possible withdrawals (see Student Handbook).

     Etiquette online education

    Workplace
    Teachers and students have a laptop/pc with functioning microphone and camera and well-functioning internet access in order to take part in online education. (FAQ about mobile devices)

    Microphones/cameras
    Students are expected to have their camera on. Instructors tell students at the beginning of the course about alternative or additional expectations related to cameras and microphones. Students are expected to actively participate in their education and therefore comply with these requests.

    Recordings
    Students are not permitted to make audio- or video recordings of class sessions. Instructors will not record the sessions via zoom either.

    Educational materials
    Students are not permitted to disseminate (paper or digital) educational materials, unless the teacher explicitly gives permission for this or the open-access license allows this.

    Further guidance for students and teachers.

  • Campus - What is expected of you in student housing

    We follow the instructions of the Dutch government. If a student travels in from a high-risk area (i.e. code orange/red country) they will have to self-quarantine for 10 days. This applies even if you do not have any symptoms or if you have tested negative for COVID-19. Self-quarantining means that you don’t leave your accommodation and that you do not receive visitors. During the self-quarantine period do not travel or go to another location.  If you do not develop any symptoms that could be caused by coronavirus, you can end the self-quarantine after 10 days.

    Additionally, all residents are expected to adhere to the following measures:

    • Abide by the “house rules” published in your accommodation by UCR and Villex;
    • Use the disinfection station wherever they are present;
    • Follow the signs to create a one-way flow of “people traffic”;
    • Always keep 1.5 meters distance between yourself and others;
    • Host as little visitors as possible (a maximum of 1 person is allowed to visit your room once per day, and only if a 1.5 meters distance between you can be guaranteed. In Bagijnhof the rule of maximum 1 visitor applies to the entire household, i.e. only 1 visitor to the whole house per day is allowed);
    • Room, floor and house parties are prohibited; and until further notice alcohol is not allowed.

    All these guidelines and regulations can also be found on the ‘coronavirus posters’ that can be found in the hallways and common areas on every floor.

    For specific information pertaining to your building, please visit this page.

  • Protocol - When are you supposed to self-quarantine and how

    In principle, there are several situations in which you may have to self-quarantine for a minimum of 10 calendar days.  These are:

    • If you have symptoms that could be caused by coronavirus. In this case you should also make an appointment to get tested and remain in self-quarantine until you have a negative test result and all symptoms have stopped.
    • If someone you live with (in the same room) has severe symptoms of COVID-19 (fever and/or shortness of breath). In this case they should make an appointment to get tested and remain in self-quarantine with you until they have a negative test result and all symptoms have stopped.
    • If you have traveled or are traveling back to the Netherlands from an “orange” or “red” country.
    • If you have been tested for COVID-19 and while you are waiting for your test results.
    • If you have tested positive for COVID-19.
    • If you share a room or household with someone who has tested positive for COVID-19. This means that students in Bagijnhof need to quarantine with their whole house if someone in the house tests positive.

    Until 6 April 2021, all classes are offered online. There are some exceptions to practical elements. As of 6 April 2021, we are implementing a flexible teaching model. This means that being in self-quarantine does not prevent you from starting your studies. You will be able join class online, to learn and study virtually, until you can safely come out of quarantine and attend class again in person.

    Read more about quarantine.

  • Absences - How this will be determined

    • If you are ill, you should email your instructor, your tutor (see Student Handbook) and coronavirus@ucr.nl explaining why you will not be in class and what symptoms you are experiencing.
    • If you are on campus and have COVID-19 symptoms, the Crisis Team will instruct you to book an appointment to get tested. You will then have to self-quarantine until a negative test result is known. Whilst you self-quarantine, you will follow classes online if possible (see www.ucr.nl/quarantine for more information).
    • If your illness is not related to COVID-19, then the situation is like any other semester in which you would not be able to attend class. You must email both your tutor and your instructor. If you are too ill to attend class, you will be marked as absent.
    • If you find yourself facing difficulties with keeping focused in a course and therefore feel the need to self-isolate, please contact your instructor, or your tutor to discuss your concerns with them. You and your instructor can then agree on a workable solution that suits both you and them. As long as you follow these formal channels and come to an arrangement with your instructor, you will not be considered absent.
    • If you miss several classes, then the onus is on you to speak to the instructor about the possibilities of official extensions and to your tutor about possible withdrawals (see Student Handbook).
    • It is your responsibility to make sure you have a comfortable place to work from, including a good and reliable internet connection. If you have difficulty connecting to the internet, you should inform your instructor as soon as you can (possibly via a classmate). If connection issues prevent you from joining your online class at the correct time, you will be marked as absent. You should also take initiative to catch up on anything you may have missed during the class. We understand that technical issues are out of your control, but similar to being stuck on a delayed train, although a technical issue, you can’t attend class at the normal time. There are of course exceptions, such as a campus-wide network problem or power outage.
    • If you are going to miss an exam or assessment (whether you are ill or just self-quarantining for the reasons listed above), all relevant rules and procedures in the student handbook apply.
